2. All consular services provided by the Embassy of Malaysia
The Malaysia Embassy in Vietnam provides a range of consular services to Malaysian citizens residing in or visiting Vietnam. These services include passport renewal and issuance, visa applications, birth and marriage registration, assistance in case of emergencies such as lost or stolen passports, and certification of documents.
2.1. Registration of Malaysians
The Malaysia Embassy in Vietnam provides registration services for Malaysians residing in Vietnam, as well as those visiting for short periods. Registration is essential to enable the Embassy to provide assistance, particularly in emergency situations.
All Malaysians residing in Vietnam are advised to register with the Embassy. For short visits to Hanoi or Ho Chi Minh City, registration by email is sufficient.
Registration can be done in person by visiting the Embassy or via email by filling out the appropriate forms and submitting them along with a scanned copy of the passport to the Consular Officer.
2.2. Passport Renewal
The Malaysia Embassy in Vietnam offers passport renewal services to Malaysian citizens residing in Vietnam. Renewal of the Malaysian passport can be done at the Malaysia Embassy in Hanoi or the Malaysia Embassy in Ho Chi Minh Vietnam.
The processing time for passport renewal is approximately 3 - 6 months, or even longer, as the application is sent through the diplomatic channel to the Department of Immigration Malaysia in Putrajaya. Therefore, it is recommended to apply for a new passport at least 6 months before the expiration date.

To apply for a new Malaysian passport, applicants must visit the Embassy in person. The required documents include:
- 1 copy of the passport application form (IM.42-Pin.1/97), which can be downloaded from the Immigration Department of Malaysia's website or obtained at the Embassy
- Malaysian International Passport (original and 2 copies)
- Malaysian Identity Card (original and 2 copies)
- 3 passport-size photos with white background, size 4x6 cm
The fee for a new passport is 1,400,000 VND/ 200 RM. The Malaysia Embassy in Vietnam will keep the original Malaysian International Passport during the processing time.
In case of an emergency, such as a lost or stolen passport, Malaysian citizens can apply for an Emergency Certificate at the Malaysia Embassy in Hanoi and the Consulate General of Malaysia in Ho Chi Minh City.
The required documents for a lost passport include:
- A Police Report issued by the nearest local police station
- A Passport Application Form (IM.42-Pin.1/97) and a Malaysian Police Report Form that can be obtained at the Embassy
- A copy of the lost Malaysian International Passport
- 2 passport-size photos with white background, size 4x6 cm
- Air-ticket booking (direct flight from Hanoi/Ho Chi Minh City to Kuala Lumpur, no transit allowed)
The fee for an Emergency Certificate is 350,000 VND/ 50 RM, and the processing time is approximately 3 working days.
2.3. Birth/Marriage Registration
Malaysian citizens born in Vietnam can register their birth at the Malaysia Embassy in Vietnam under certain conditions. The child's father or mother must be a Malaysian citizen at the time of birth, and the registration must be made within one year from the date of birth.
The Embassy will forward the application to the National Registration Department of Malaysia for approval if the registration is made beyond the period of one year from the date of birth.

The Malaysia Embassy in Vietnam also provides registration of marriage for non-Muslims. The marriage must be registered within 6 months from the date of marriage. Any registration made after 6 months of marriage is considered late registration. The required documents include:
For the Malaysian:

- A copy of the Malaysian Birth Certificate
- 1 recent photo of the applicant

For the Vietnamese:
- The original Vietnamese passport and 1 photocopy

All the documents of the Vietnamese spouse must be translated into English by a qualified translator and notarized by a Notary Public in Vietnam, and endorsed by the Consular Department, Ministry of Foreign Affairs of Vietnam.
The fee for this service is 140,000 VND/ 20 RM and the processing time is 3 working days.
*** Note: Late registration of marriage requires a fee of 100 RM for the first 6 months and 50 RM for every 6 months thereafter.
